Account Payable Specialist

Job Summary:

Accounts payable specialist will have full-cycle accounts payable experience, strong data entry skills and experience resolving vendor discrepancies. In addition, the accounts payable specialist will take on responsibilities related to account reconciliation and analysis.

Responsibilities of the position are:

· Coordinate and perform all aspects of the accounts payable cycle with a focus on vehicle and equipment maintenance part and labor invoices.
· Review account numbers assigned to invoices to ensure that the proper general ledger account or equipment number is charged and subsequent departmental and company reports are accurate.
· Ability to handle a multiple entity environment where invoices are input under different legal entities
· Follows-up on unapproved pending invoices.
· Input invoices into the accounts payable system on a timely basis in order to provide payments within vendor terms and take advantage of any discounts.
· Generate and review accounts payable edit listing to ensure input accuracy prior to printing of checks.
· Maintain and periodically review accounts payable vendor files to ensure that all necessary vendor information is accurate.
· Communicate with vendors regarding discrepancies with invoices.

Qualifications:

· Three or more years of accounts payable experience required
· Quick and accurate data entry abilities
· Strong communication, customer service and organizational skills
· Microsoft Office (Word/Excel/Outlook) and Timberline Software experience a plus

Environment:

Working conditions are normal for an office environment. Ability to lift 25lbs may be necessary. Physical ability to handle multiple daily trips with stairs for invoice routing is necessary. Work may require occasional weekend and/or evening work. Apply

Admin/Courier - Part Time

Provide efficient, safe delivery and pick up of packages and documents while representing the company in a professional manner.

Responsibilities are: Perform delivery tasks and pick-up of company material in a polite, resourceful and professional manner (Interoffice/Post Office/Banks). Insure documents are delivered. Perform mailroom duties/inter-office deliveries. Work with Reception on proper handling of incoming and outgoing mail. Communicate with main office through a mobile device. Operate larger sized vehicle in a safe manner to deliver mail.

Qualifications: Have excellent driving skills and road sense. Have good communication skills. Possess the ability to work within tight schedules. Have a pleasant manner, is reliable and honest. Have good geographical knowledge and have the ability to read maps and plan routes. Must have a valid drivers license and clean driving record.

Applicant will need to successfully pass background check, physical/drug testing and driving test.

Working Conditions: The majority of work is performed driving and stopping to pick up and dropping off packages and documents in a variety of weather conditions, rain, snow and/or ice.

Physical Requirements: This position requires extensive periods of sitting while driving daily. It also requires repetitive use of arms and legs and moving the whole body, such as standing, climbing, lifting, balancing, walking, stooping, reaching, pushing, grasping, hearing and talking. May be required to lift up to 25 lbs.

Part Time Hours: 15 hours per week. Hours are 12:00 pm - 3:00 pm, Monday through Friday.

Summary: Estimators are responsible for preparing bids, proposals and estimates for the construction of heavy highway, commercial, residential and site development. Estimators ensure bids accurately detail all related project costs and meet all client requirements and company requirements for profitability and quality.

Responsibilities:

· Capability to communicate effectively in oral expression as well as the ability to write clearly and concisely.

· Prepares estimates and construction costs according to accepted standards such as the Engineered Performance Standards and by soliciting information or technical advice concerning proposed construction or maintenance, specifications or plans and supplies or equipment.

· Demonstrated advanced skills with computer spreadsheet software (Microsoft Word, Excel, and HCSS Heavy Bid).

· Prepare and/or coordinate the preparation of estimates on conceptual, design-build negotiated lump sum and unit price contracts for both private and public bids.

· Review scope, specifications and drawings to determine scope of work.

· Prepare crew based estimates using HCSS Heavy Bid.

· Prepare and submit client bid proposals.

· Maintain files of working documents as back-up for estimate figures, including current (accurate) information on prices from suppliers through direct contact, sales brochures, price lists, etc.

· Review design options and recommend best solution based on cost, engineering quality, availability of materials, “value engineering” as needed.

· Reviews all estimates with the Director of Estimating.

· Questions and concerns are to be directed up the chain of command through the Director of Estimating.

· Participate in presentations to management and clients. Responsible for client follow-up and “closing the deal", with input from senior management.

· Ability to exercise sound judgment.

· Ability to prepare general reports and to maintain accurate records.

· Deal tactfully with others and work independently.

Qualifications:

· Applicants must have at least five years of full-time, technical experience in the estimating of heavy highway, commercial, residential and site development.

· Associate's degree or Bachelor's degree (preferred).

· Advance working knowledge of PlanSwift, Auto Cad and Business Center HCE software is a strong plus.

· Advance working knowledge of HCSS Heavy bid and Excel is required.
